About the role
A purchasing assistant helps the plant obtain the correct materials, spare parts and services through an approved buying process. The panel will test how you check requests, compare supplier offers, follow deliveries and maintain reliable records. It also wants evidence that you will act honestly when an urgent request or supplier creates pressure.
How to prepare
- Revise the flow from purchase request and quotation to purchase order, receipt and invoice matching.
- Practise comparing supplier quotations on more than the unit price.
- Prepare an example of following up a delayed task or delivery until it was resolved.
- Review the spreadsheet features you can use to track quotations and open orders.
- Think through how you would handle gifts, favouritism or a request to skip approval.
Common mistakes
- Ordering from an unclear description instead of confirming the specification.
- Choosing the lowest quotation without considering quality and lead time.
- Waiting until the promised delivery date before checking an important order.
- Treating purchasing records as optional paperwork.
